Conference Support Programme

The Vilnius Conference Support Programme supports international conference organisers in covering part of the event-related costs. The programme focuses on professional international events that bring global audiences to Vilnius and create value for the city by strengthening its visibility, knowledge ecosystem and economic impact. Applications are open year-round and must be submitted at least 30 days before the event.

  • Legal entities registered in Lithuania or abroad organising an international conference and assuming full responsibility for its delivery.

  • Professional conference organisers (PCOs) acting on behalf of the main organiser.

  • A minimum of 50 in-person participants attend

  • A required share of participants are international (30–70%, depending on size)

  • The conference lasts at least 2 days, with a minimum of 4 hours of programme per day

  • Only pre-registered participants are counted

  • The conference is aimed at a professional or academic audience

  • The conference is not held regularly in Vilnius (within the past 3 years or as a recurring event)

  • Trade fairs and exhibitions

  • Cultural, entertainment, or sports events

  • Corporate or incentive events

  • Events within larger exhibitions or festivals

  • Leisure-focused events

  • Legally required events

  • Political or religious events

  • Governmental or official events

  • Publicly funded events

  • Conferences held regularly in Vilnius (past 3 years or recurring)

  • Venue and equipment rental

  • Catering during the programme

  • Local transport within Vilnius

  • Marketing and promotion

  • Social or cultural programme

  • Conference organising service

The maximum grant per conference is EUR 30,000. The final grant amount is determined by the evaluation score and is subject to the available budget. Applications are scored (max 22 points) based on:

  1. Number of participants

  2. International attendance

  3. Duration

  4. Sector (priority: ICT, biotech, fintech, lasers, and other physical technologies)

  5. Seasonality (November - March)

  6. Strategic value to Vilnius

  7. Potential to bring new events

The grant is paid after the conference, upon submission of the Report and all supporting documents within 30 working days after the event. The Report must include proof of expenses, a list of participants, the conference programme, the final budget (income and expenses), evidence of Vilnius integration, and event photos.

7 Steps to Get the Grant  

 

Step 1       Application submission. Submit at least 30 days before the event.

Step 2       Application evaluation. The application will be evaluated within 20 working days.

Step 3       Notification. Decision on the preliminary grant is sent by email.

Step 4       Conference report. Submitted within 30 working days after the event.

Step 5       Report evaluation. Evaluated within 20 working days.

Step 6       Grant decision. Final decision is sent by email.

Step 7      Payment. Paid within 30 working days from invoice.
